Electronic document and records management

Information is a key resource that managed properly ensures effective organisation performance.
Our approach
Amtec's approach is based on proven best practices including TNA and DIRKS recommendations to ensure that organisations will gain maximum business benefits and meet compliance with relevant policies and requirements. We have applied our extensive experience of EDRM to organise the best practice approaches into four key phases:
  • scoping study - the scoping study is a critical part of the EDRMS project. There are many key questions to be answered, not least of which is whether to just comply with the basic policy and legislative requirements or whether to look for the additional benefits achievable with a full or partial EDRMS. Amtec helps to guide organisations through this process.
  • requirements specification - there is no need to reinvent the wheel when preparing the requirements specification. Amtec's approach draws on existing specifications such as TNA, MoReq, etc., and merges these with the outputs of the scoping study. This fast-track approach reduces timescales and costs, while ensuring quality and completeness.
  • implementation planning - a key decision during the planning phase is whether to build, lease or buy the solution. Amtec can provide impartial, objective advice as to the best solution for each organisation. Amtec can also advise on the best procurement route.
  • implementation - industry commentators agree that the most important aspect of an EDRMS implementation project is that of managing the cultural change involved in adapting to new ways of working. After all, if such projects were just about technology, then the paperless office would have arrived many years ago. As a multi-disciplinary consulting practice, Amtec is able to support organisations through a combination of change, risk and project management expertise, development of appropriate policies and procedures combined with invaluable hands-on EDRMS experience.
Benefits of our approach
These include:
  • effective sharing of information throughout the organisation.
  • compliance with legal requirements.
  • reduction in the dependence of paper as the medium for storing important information.
  • increased efficiency, increased effectiveness and a reduction in corporate risk.
  • ensures that the implementation of a system is accompanied by due consideration for policies, procedures, culture.
  • assess the interfaces with other processes and systems.
